What We Are Looking For:

The Case Manager is a vital part of our intake and case management team, ensuring a seamless transition of prospective clients into active cases. This role involves managing the intake pipeline, overseeing case preparation, and coordinating communication between clients, attorneys, and external entities. The Case Manager will ensure intake goals are met while maintaining professionalism and compliance with legal standards.

Roles and Responsibilities

Client Intake & Case Preparation
Lead and oversee the client intake workflow to ensure timely and accurate case initiation.
Review intake files to verify that all required documentation is complete and accurate.
Coordinate with medical providers, insurance companies, and other entities to collect necessary case-related records.

Client Communication
Act as the primary point of contact for clients during the transition from intake to case initiation.
Provide clients with updates and ensure they understand the next steps in their legal process.

Administrative & Compliance Support
Track inquiries and follow up with potential clients who have not yet completed the intake process.
Schedule initial consultations between attorneys and potential clients.
Ensure compliance with confidentiality and ethical standards throughout the intake process.

Team Collaboration & Leadership
Work closely with attorneys, paralegals, and legal assistants to address case-specific intake needs.
Monitor case deadlines and ensure all intake-related tasks are completed in a timely manner.
Assist in training and mentoring junior intake staff, ensuring adherence to firm standards.

System & Data Management
Maintain and update case records in the intake management system.
Track intake metrics and provide feedback to improve processes and efficiency.

Knowledge and Skills
Familiarity with litigation processes, legal terminology, and court filing procedures, particularly in , mass tort, or plaintiff-side cases.
Strong interpersonal skills with the ability to build trust and rapport with clients, demonstrating empathy and professionalism.
Proficiency in case management systems (e.g., Litify) and CRM tools.
Exceptional organizational and multitasking abilities, with strong time management skills in a fast-paced environment.
Technical proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to adapt to new legal technologies.
Strong written and verbal communication skills, active listening, and problem-solving abilities.
Ability to work collaboratively with attorneys, paralegals, and administrative staff to ensure a smooth intake-to-litigation transition.
Bilingual proficiency (e.g., Spanish) is preferred but not required.

Qualifications and Education Requirements
Education: Associate or Bachelor's degree preferred in Legal Studies, Paralegal Studies, or a related field. Paralegal certification from an ABA-approved program is highly desirable but not mandatory. Equivalent work experience may substitute for formal education.
Experience: support, preferably within a plaintiff-side law firm.

Physical Requirements
Prolonged periods of sitting at a desk and working on a computer.
Occasional mobility required to access office supplies and files.
Ability to lift and carry materials weighing up to 15 pounds.
Rare instances of stair climbing, stooping, kneeling, or crouching.

Pay Range for This Position
$26.00 to $43.00 per hour, DOE
