Title/ Deal Clerk
We are looking for an experienced Title/Deal Clerk to join our accounting team. The ideal candidate has at least one year of office or accounting experience, preferably in the automotive industry. This position requires a high attention to detail to ensure that all work completed is compliant with all legal requirements.
This position is responsible for processing all new and used vehicles for registration in the state in which they will be titled accurately and efficiently. Ensures accurate records, and posting vehicle sales and purchases, while also assisting with other administrative tasks.
Duties:
Process all new and used vehicles for registration in the state in which they will be titled.
Prepares tax and title documents.
Submit all legal transfer work to the Department of Motor Vehicles.
Verifies that funds have been collected and the correct lienholder paid off before processing title applications.
Checks for accuracy in the application and ensures that all information is complete.
Working with lien holders and the DMV to process title transfers and ensure proper vehicle ownership documentation.
Prepares payoff checks for new vehicles and trade-ins.
Reconciles License Fee and Payoff Schedules
Dealer Trades: Process paperwork, bill out all dealer trades and prepare Certificates of Origin.
Maintains a system to verify out-of-state titles.
Compiles and maintains a complete list of all outstanding title work. Reports to management on the status of any missing or problem titles and provides a current list of outstanding titles to the controller.
Signs over titles for all wholesalers who have paid in full. Compiles and maintains a complete list any funds not collected from wholesalers due to missing or incomplete title work.
Posts vehicle sales and purchases for all new, used and wholesale deals
Processes/registers all vehicle warranties and extended service contracts
Stays abreast of title regulations. Attend seminars held by local licensing bureaus and any available training on title regulations.
Cross-trains others to handle title clerk daily responsibilities.
Conducts periodic training sessions for F&I managers regarding title regulations and procedures and issue a written memo to F&I and Sales Managers whenever regulations change.
Stocks in New Vehicle Inventory: Review new vehicle invoices, enter vehicles into the Vehicle Inventory system, post into accounting
Handle incoming phone calls as needed, assist office staff in coverage when needed.
Other Administrative tasks assigned to title desk.
Qualifications:
At least 2 years previous experience in a title clerk or administrative role within the automotive industry preferred.
Proficiency in Microsoft Office Suite and dealership management software (e.g., CDK, Reynolds & Reynolds).

Accuracy is crucial in this role to avoid errors in financial records and legal documentation.
Organization:
The ability to manage and track multiple documents and transactions is essential.
Computer Skills:
Proficiency in using accounting software and other dealership management systems is required.
Communication Skills:
Clear communication with customers, other dealership staff, DMV and financial institutions is necessary.
Knowledge of Automotive Industry:
Familiarity with vehicle sales processes, financing, and documentation is helpful. Basic understanding of accounting and ability to apply debits and credits.
