Job Title : Debit Management Specialist

_ Job Summary _ :
The Debit Management Specialist will oversee the debit claims process for our Chicago and Bedford Park warehouses. This role is crucial in ensuring financial accuracy and integrity by managing all aspects of debit claims from inception to resolution. The Debit Management Specialist will work closely with the accounting department to track, investigate and resolve claims efficiently, thereby minimizing financial loss claims.
_ Key Responsibilities _ :
1. Claim Oversight :
a. Monitor and manage all debit claims from start to finish to ensure accuracy and compliance with company policies
2. Investigation :
a. Conduct thorough investigations into each claim to verify the legitimacy and reason for the debit/credit request
b. Track the distribution history including dates, quantities, and recipients of the products involved in the claims
3. Data Analysis :
a. Review case numbers, lot numbers, and other relevant product identifiers to trace back to the original distribution.
b. Use data analytics to identify trends in claims that might indicate systemic issues or errors in the distribution process
4. Financial Transactions :
a. Ensure proper financial adjustments are made following claim resolutions
b. Confirm receipt of payments or adjustments related to claims
5. Collaboration with Accounting :
a. Work in close coordination with Greg in Accounting to understand the financial impact and follow up on the nature of each complaint.
b. Handle all correspondence between the accounting department and external parties involved in the claim.
6. Documentation and Compliance :
a. Maintain detailed records of all claims including emails, notes, and resolutions.
b. Ensure all claims handling processes comply with legal and company standards
7. Customer Interaction :
a. Communicate with customers to clarify details of the claim, ensuring clarity and satisfaction where possible.
b. Address customer inquires regarding claim status or processes.
8. Reporting :
a. Compile regular reports on claim activities, financial impacts, and process improvements for upper management.
b. Propose and implement strategies to reduce the frequency and impact of debit claims
9. Training and Development :
a. Stay updated with industry standards and changes in laws that could affect claim processes.
10. Problem Solving :
a. Develop and implement solutions to recurring issues identified through claim analysis
_ Qualifications _ :
- Bachelors degree in Business Administration, Finance, Operations Management, or a related field.
- Minimum of 3 years experience in claim management, finance, or operations with food distribution.
- Strong analytical skills with proficiency in Microsoft Excel, Netsuites and or data analysis tools.
- Excellent communication and interpersonal skills, with the ability to negotiate and resolve disputes.
- Detail-oriented with a high level of accuracy in financial dealings.
- Knowledge of warehousing operations and logistics is a plus.
_ Physical Requirements _ :
- Ability to travel between Chicago and Bedford Park as needed.
- Capable of spending significant time on computer and occasional physical movement within the warehouse.
